Broad Functions:
HIU is looking for an engaged, dynamic, and dedicated Registrar to work in collaboration with the Enrollment Management team to plan and coordinate all administrative aspects of graduate degrees, certificate programs, and non-degree programs for a small graduate school. Responsible for the effective functioning of the Registrar’s Office including overseeing the student information system (currently Populi), maintaining accurate student records, and completing institutional reporting. Responsible for all aspects of registration policies and procedures. We seek an energetic team player whose work will have an ultimate impact on peacebuilding efforts across the world.
Duties and Responsibilities:
To perform this job successfully, the individual must be committed to a high standard of excellence and perform the following duties satisfactorily.
Student Records and Registration
- Coordinates and implements university degree, certificate, non-degree, and non-credit course registration activities.
- Communicates with students regarding registration policies, deadlines and other academic calendar information.
- Coordinates with the Admissions Office in onboarding newly admitted students, disseminating data on accessing the Populi student record system, the Canvas LMS system, and creates the assignment of HIU emails.
- Processes registration requests for non-matriculated and auditing students, and for registrations requiring instructor or advisor permissions.
- In consultation with the Academic Dean, coordinates with Consortium colleagues on course offerings through the BTI and GRATZ programs. Processes the related registrations for both incoming and outgoing students in these programs.
- Manages the maintenance and integrity of student records focusing on accuracy and privacy.
- Enforces grading policies. Works with faculty to ensure grades are entered on a timely basis and that grades submitted follow grading policies including incomplete course policy.
- Produces transcripts. Certifies enrollment and conferral data according to Federal and FERPA guidelines.
- Manages the Populi student information system including training students, faculty, and staff.
- Keeps track of student compliance with state mandated immunization requirements and follows up as necessary.
- Provides institutional oversight of FERPA. Trains faculty and staff on FERPA regulations.
- Coordinates with the Business Office to schedule processes for billing.
- Verifies veteran status and enrollment for the VA; coordinates with the Financial Aid and the Business Offices on applying VA benefits to student accounts.
Student Degree Auditing and Graduation
- Coordinates with faculty advisors on communicating program requirements to students. Provides information to students based on the audit regarding their progress toward program completion.
- Communicates with students regarding their official academic standing, e.g., academic probation, six-year limit, etc.
- Maintains the accuracy of the degree audit for each program in Populi.
- Conducts final audits for all students seeking to graduate and presents lists of graduating candidates to faculty and board of trustees for voting approval.
- Provides information on the Graduation process to students and oversees the coordination of commencement events.
- Manages the ordering and distribution of diplomas based upon successful degree completion.
Course Scheduling and LMS Support
- In coordination with the Academic Dean, prepares the annual HIU Academic Calendar and the graduate programs course scheduling per term. Responsible for entering and managing this data in both the Populi system, and the HIU website.
- Manages the course catalog in Populi, updating new course data and course descriptions as needed.
- In coordination with the Academic Dean and Program Directors, reviews and updates change to program requirements in Populi.
- Responsible for maintaining the catalog data and related academic information on the HIU website, and works with others within the institution to update all other sections.
- Assigns classrooms each term based on enrollment numbers and notifies appropriate HIU staff regarding the need for classroom technology arrangements.
- Serves as administrator for the LMS (Canvas), Course Evaluations and Surveys, student email.
Institutional Reporting
- Acts as Accreditation Liaison Officer (ALO) for NECHE and ATS accreditation.
- Collects data for external organizations for reporting to Federal and State agencies, including U.S. and State of Connecticut Departments of Higher Education, NECHE, ATS, and other external organizations as permitted, as well as institutional requests.
- Provides enrollment and retention reports.
- Remains current on the student assessment requirements of our accrediting agencies.
- Responsible for IPEDS reporting (Fall, Spring, and post-graduation reports).
Academic Policies Committee
- Prepares agenda in consultation with the Academic Dean. Ensures that meeting materials are distributed to Committee members.
- Produces minutes of the APC meetings and prepares student petition documentation for APC reviews.
- Communicates APC decisions to students and advisors; including leave of absence, program extension, academic probation, voluntary withdrawal, and withdrawal due to inactivity or academic failure.
Other Duties
- Attends Academic Council meetings.
- Attends Enrollment Services Committee meetings.
- Assists the Director of Recruitment and Enrollment Management, Academic Dean, and President with other duties as assigned.
- As is expected of all employees, provide backup support for the University’s major events (e.g., Graduation and Convocation) and general activities, as needed.
Education and/or Experience:
- A bachelor’s degree (required) or master’s degree (desired).
- 3-5 years’ experience in higher education administration, preferably in a registrar’s office.
- Experience with web-based student database management software; knowledge of Populi is preferred.
- Knowledge of Microsoft Office products.
- Ability to effectively communicate verbally and in writing; keen attention to detail and the ability to manage multiple projects and meet deadlines; must have excellent planning and organizational skills.
- Maintain student, faculty, and staff confidentiality for sensitive information.
- Must be able to relate to a wide range of individuals across diverse backgrounds. In person work is required.
Physical Requirements:
Remaining in a stationary position, often standing or sitting for prolonged periods. Adjusting or moving objects up to 25 pounds in all directions. Communicating with others to exchange information. Repeating motions that may include the wrists, hands and/or fingers. Assessing the accuracy, neatness and thoroughness of the work assigned.
